POSITION SUMMARY

The Special Assistant will report directly to and offer high-level administrative and project management support to the CDO, and occasional support to the Vice President of Development. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.  Strong candidates will ensure that the right people are in the right place at the right time doing the right things on the proper schedule. They ensure that workflows involving the CDO come together in an efficient and timely way.

PRIMARY RESPONSIBILITIES

  • Introduce and maintain project management tools as needed to keep CDO’s key priorities clear, organized and on track.
  • Manage the status, resources and timelines for key projects and specific work flows, ensuring internal constituencies are aligned and informed.
  • Build, oversee and drive the CDO’s calendar, including ensuring sufficient preparation for and follow-up from meetings.
  • Coordinate with Ocean Conservancy staff to ensure preparation, production, and distribution of background and briefing materials, binders, and itineraries related to meetings, presentations, conferences, and travel. Assist with meeting production and logistics as needed.
  • A key liaison between the CDO and other departments, ensuring excellent communication, transparency, alignment and partnership across the organization’s teams. Ability to work and coordinate with the special assistants of other senior leaders at OC.
  • Facilitate timely and efficient information flow from Development Directors to the CDO, including compilation of meeting agendas, management of deadlines, scheduling of meeting debriefs and circulation of notes for critical meetings.
