Description

This is a great opportunity for an Operations & Finance Coordinator to join a non-profit organization working to make a real difference in the world.

The successful candidate will support a broad range of finance and operations functions, including accounting, human resources, and operations. This position will play an integral part of a cohesive, highly motivated team and will work in a fast paced and collaborative environment. He/she will support the CEO and the Managing Director of the organization and will lead operations and finance tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Accounting & Finance 

    • Support budget and accounting admin tasks, including entering, tracking and managing all accounts payable and receivable in multiple systems

    • Prepare and submit check requests and financial reporting

    • Track donations, grants, and other income to ensure it is accurately coded and accounted for on a daily basis

    • Prepare thank you letters for donations and grants

    • Manage, track and review monthly reconciliation of accounts in Quickbooks (accounting software)

    • Submit expense reports and check requests in a timely manner

    • Liaise with PPC’s outside accounting contractor

    • Maintain vendor records, receipts, contracts, and process payments to them in a timely manner

Operations & Administrative Support

    • Liaise between PPC and its fiscal sponsor, Earth Island Institute

    • Prepare agreements with independent contractors, vendors, and outside businesses, interns, and others

    • Manage job searches for new positions; monitor and organize applicant materials, job ad postings, etc.

    • Manage relevant financial reports and requests in a timely manner

    • Assist with organization and content management of all files including operations, finance, and HR on Google team drive (filing)

    • Prepare and send letters and packages by UPS, USPS, FedEx, mail or email

    • Support Executive Leadership with travel arrangements and expenses

    • Facilitate logistics for team calls and yearly staff retreat, including agendas, call details, invites, etc.

    • Manage CEO’s and Managing Director’s calendars, schedule and help prepare for meetings, including draft agendas, set up Zoom details, send calendar invites and reminders

    • Support Executive Leadership in preparation for Board meetings

    • Take notes on Google team drive and create follow up tasks after meetings in Monday.com (project management tool)

    • Participate as a team member on special projects or company-wide initiatives as requested

    • Additional administrative support as needed
