Description

The Facilities Assistant / Receptionist is responsible for answering all calls that come through the switchboard (switchboard hours are from 8:45 am to 5:15 pm). This person represents Greenpeace to the public by answering inquiries, maintaining public information displays and providing occasional campaign and organizational support. The Facilities Assistant / Receptionist is also responsible for receiving all visitors and deliveries, maintaining a perfect appearance of the reception area and kitchen near the reception.

This position will be based in Washington, DC, and will report to the Facilities Director.

The Facilities Assistant / Receptionist will be responsible for:

  • Answering all calls that come through the main switchboard. Route calls to appropriate people and take messages, if necessary. Check for any messages and respond immediately or forward to appropriate staff. Refer general inquiries to the Greenpeace toll free information line.
  • Receiving visitors, oversee deliveries. Keep current on all Greenpeace meetings, activities, and campaigns. Keep an up-to-date accurate account of staff who are in the building and guests who are visiting.
  • Receiving all faxes and packages, and distribute to recipients.
  • Performing data entry for the Facilities Department for invoices allocations (FedEx, Enterprise, Anybill, etc).
  • On a back-up basis, post outgoing mail, sort incoming mail, make office rounds.
  • Performing public outreach functions:
    • Maintaining public information displays and information packets.
    • Directing incoming calls regarding Greenpeace work to appropriate people.
    • Referring requests for general information to the Greenpeace toll free information line
  • On a monthly basis, updating the in-house phone directory.
  • Updating cell phone database and emergency cell phones list.
  • Keeping the reception area perfectly neat and professional.
  • Managing the DC apartment reservations and keys administration.
  • Managing adding employees and volunteers to the GP Authorized Driver’s List.
  • Performing other job duties as requested or assigned by the National Facilities Director.
