POSITION SUMMARY

The Coordinator, Planned & Individual Giving provides support to the Planned Giving (PG) and Individual Giving (IG) Teams. The position will perform a variety of duties to further the mission of the organization while exercising good initiative, independent thinking and judgment. Primary areas of responsibilities include supporting the PG and IG teams in their efforts to coordinate the daily operations of Ocean Conservancy’s planned giving and mid/major donor programs. Specific activities include, but are not limited to, processing inbound/outbound donor mail including mid/major donor acknowledgements, responding to donor inquires, updating donor records, coordinating team meetings/calendars, and maintaining adequate team supplies.

PRIMARY RESPONSIBILITIES

  • Process all incoming mail for the PG and IG teams including scanning documents for distribution to remote employees and coordinating with PG team to deposit checks.
  • Monitor team mail and email inboxes and respond to correspondence daily, including requests for information and donor complaints; ensure a timely response.
  • Support mid-level and major donor acknowledgement process, including scanning, batching, and uploading information from mailing into database, creating new member packets, hand addressing and stamping envelopes, adding backups to major donor records in RE.
  • Support and mail out in-house donor mailings for IG team, including annual solicitation package for portfolio managed donors.
  • Fulfill PG information requests through preparation and mailing of donor packets.
  • Support process of digitizing planned giving records by scanning all historic files and new documents as they are received.
  • Organize and facilitate meetings and conference calls, taking and distributing notes as needed.
  • Assist with event planning including compiling invitation lists, mailing invitations, tracking responses, creating nametags, preparing background information and assisting with follow-up correspondence.
  • Execute monthly expense reconciliations and any necessary reimbursements for Resource Development directors and regularly submit invoices to the Finance department.
  • Use Raiser’s Edge database to create, update and maintain donor records. Ensure database accuracy. Generate mailing lists and reports to facilitate activities with individual donors as well as foundation and corporate funders.
  • Monitor team’s supplies inventory and place orders as necessary.
  • Order and oversee catering services for team meetings and internal events when requested.
  • Exhibit respect for and excellent service to donors and all supporters of Ocean Conservancy through prompt and courteous communication.
  • Support the Planned Giving and Individual Giving teams before, during and after development travel.
  • Follow and uphold the department’s policies and procedures for best practices in development.
  • Embrace a mission-driven, cohesive and supportive attitude within the organization.
  • Perform other tasks as assigned.
