WHAT WE CAN ACHIEVE TOGETHER

The Conservation Program Assistant will be responsible for performing multiple administrative and logistical functions related to the Conservation Guatemala Program.  They report to the Executive Lead. The Conservation Program Assistant works for the Guatemala Program office, coordinating administrative tasks related to our conservation programs (Carbon, Fresh Water, Regenerative Agriculture, Lands Protection, Financial Mechanism, and others). This position is responsible for activities such as collecting and managing project data and files (financial and related to technical activities) keep track of weekly and monthly planning for the conservation team activities and executing logistics for meetings and events. In addition, They will be responsible for ensuring that systems are in place to track expenses and deadlines and products related to contracts are up to date. They will support in the writing of reports and proposals, keep internal systems updated and visit on-site project occasionally to collect additional information for monitoring purposes and/or assist conservation activities. They will also support the conservation team with other administrative tasks, including travel arrangements, processing forms, monitoring budgets and systematizing information. They will use available systems and resources to track and research data, and produce and review reports. The Assistant will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline.

He/she will be responsible for scheduling and coordinating logistics for special events and/or meetings and coordinating with vendors and contractors. They may assist with the recruitment, training and coordination of the Program’s volunteers/interns working. In addition, he/she will apply established processes and practices to improve effectiveness and to document program procedures for reference by staff. The Professional may handle inquiries about business unit activities and assist in the development of program materials and correspondence. He/she will work cooperatively with the Conservancy staff, providing information necessary to make decisions and solve administrative and logistical problems needs.
The Professional may communicate on behalf of its supervisor with internal and external sources, including staff, donors, partners, vendors, and businesses in order to coordinate arrangements, convey information, and ensure successful execution of projects/program. They must be eager to learn and grow within the organization.
Some information/responsibilities are highly confidential, hence the candidate chosen must maintain confidentiality and will need to acquire strong knowledge of TNC’s policies, procedures and operations. Uses TNC’s code of conduct and competencies as a baseline to conduct their actions and be an example for others.

The Conservation Program Assistant develops all the necessary administrative, financial and assistance activities for the correct operation of the Guatemala Conservation Program.  He/She provide direct administrative support to one or more directors within a business unit.

RESPONSIBILITIES & SCOPE

  • Provides planning and logistical support for staff meetings & events including scheduling and recording meeting minutes for various Boards and Committees and collating decisions, articles and supporting documents.
  • Manages calendars and schedule meetings (including logistical & travel support) for the Guatemala Conservation Team, as needed
  • Supports HUB platform updates in coordination with the Portfolio Manager and Executive Lead.
  • Manages and maintains electronic shared files and folders
  • Actively participates in committees related Conservation HETs
  • Performs day to day duties and makes decisions as delegated by the supervisor.
  • Supervises no staff but may oversee and direct work of office volunteers or interns.
  • May work under minimal and/or distant supervision; may make some independent decisions based on analysis, experience, and context.
  • Maintain confidentiality of all matters related to the work
  • Ensures compliance with TNC internal policies, procedures, and external requirements
  • Perform duties under general supervision and established guidelines.
  • Support the build and updating the operating plans of the Program and implement action for its improvement, coordinate with the Conservation Director, and Other Strategies Leads.
  • Develop the necessary administrative procedures for execution of agreements, grants and contracts of the Conservation Guatemala Program, coordinate with the financial team of TNC.
  • Maintain a system to track expenses, progress and lessons learned of the projects.
  • Maintain updated the contracts and agreements data base, including products due date and related payments. Give alerts of the administrative compliance.
  • Support the review of the required expenses report, legalization of advances, expenses with credit card and requests for repayment made of the Conservation Director.
  • Financial responsibility may include working within/managing a budget to complete projects, negotiating and contracting with vendors,
  • Assist the Conservation Program Director in planning and execution, including preparation of financial inputs for new proposals.
  • Work articulately with the teams of grants for public funds and private fund.
  • Maintain organized the general archive of the Conservation Program
  • Serve as a team member for assigned projects.
  • May work in variable weather conditions, at remote locations, on difficult and hazardous terrain and under physically demanding circumstances.
  • Develop and implement new initiatives that will ensure department and organization-wide goals and strategies are achieved.

WHAT YOU’LL BRING

  • Bachelor’s degree in business administration and 2-years of experience in positions with similar responsibilities, preferably (but not mandatory) in fields related with natural resources or environmental projects;
  • Experience organizing time, events and managing diverse activities to meet deadlines.
  • Experience performing one or more administrative processes.
  • Organizational skills and attention to detail
  • Experience analyzing information for the purpose of preparing reports, coordinating activities, and solving problems.
  • Experience working and communicating with a wide range of people.
  • Experience using project management techniques and tools such as Microsoft.
  • Experience using sensitivity in handling confidential information.

DESIRED QUALIFICATIONS

  • Bilingual in Spanish and English
  • Experience in project management and monitoring.
  • Multi-cultural skills or cross-cultural experiences are appreciated.
  • Experience utilizing databases for data entry and report production preferred.
  • Strong administrative skills including attention to detail and numerical ability.
  • Ability to plan, administer and record results of work-team meetings and activities.
  • Ability to manage and implement complex processes.
  • Ability to complete tasks independently within assigned time frames.
  • Ability to manage multiple priorities, with assignments sometimes coming from a number of sources and work independently.
  • Proficiency in interpreting guidelines and manipulating, analyzing, and interpreting data.
  • Strong communication and presentation skills.
  • Strong interpersonal skills, including ability to negotiate, influence, and persuade.
