Description

This role will sit within the British Embassy’s Economic, Climate and Science Team (ECS), and the successful candidate will be responsible for supporting the team’s activities across a wide portfolio of work in climate, environment, and science – in particular, related to the support of the Science & Innovation and Biodiversity & Oceans portfolios. Responsibilities include management and updating of databases, supporting the team’s communications strategy, assistance in official visits and events, and coordination of meetings and various logistical arrangements.

The successful candidate will work on a matrix management scheme, reporting to two different teams simultaneously and working across multiple, evolving environments. This position is a unique opportunity to gain valuable experience in a diplomatic setting while learning about multiple subjects. The role also involves close collaboration with different teams across the Embassy and liaison with other relevant FCDO sections.

Roles and Responsibilities

Data Management and Collection:

  • Update databases, spreadsheets, E-files, SharePoint, and records as requested.
  • Provide budget planning support for project resources under the Partnership Engagement Budget (PEB). Keep records of expenditures, purchase orders, and other finance expenses as requested.
  • Provide timely, updated information according to specific requests.
  • Suggest innovative ideas to design/update the team’s databases and internal documents (both physical and digital).

Event Coordination:

  • Coordinate the planning and logistical arrangements of events.
  • Provide support with the delivery of events.
  • Assist the team with the communications strategy for events.
  • Support the team in monitoring the evaluation and impact of events.

Administrative Tasks:

  • Work closely with different areas of the Embassy to ensure good coordination and optimize the impact of each event, project, communication piece, or policy work.
  • Handle translation requests (English-Spanish/Spanish-English).
  • Manage an up-to-date list of the team’s activities, visits, and events.
  • Support the team’s administrative requirements, e.g., preparation of letters, presentations, and other related documents.

External and Internal Communications:

  • Liaise with the Embassy comms team to stay updated on requirements and tools for communicating relevant activities/events.
  • Compile relevant information to create key communication pieces.
  • Propose innovative ways to communicate the impact of activities/events.
  • Create and update internal communication pieces to strengthen the team’s communication strategy.

General Engagement:

  • Actively engage in wider Embassy activities, participating in committees and events.
  • Perform any other tasks required as part of the team’s daily activities.

Essential Qualifications, Skills, and Experience

  • Currently enrolled in undergraduate studies in International Relations, International Business, Political Science, or related fields. Please note that this internship does not count as a judiciary role (judicatura).
  • Availability of at least 6 months before the graduation date. Applicants who do not meet this requirement will not be considered.
  • Good knowledge of current national and international affairs.
  • Responsible, well-organized, and committed to the job.
  • Proficient knowledge of Microsoft Office.
  • Ability to interact and collaborate effectively with different teams.
  • Excellent teamwork and communication skills.
  • Works well under pressure and against deadlines; able to handle stressful and difficult situations while maintaining attention to detail.

Language Requirements:

  • Language: Spanish and English
  • Level of Proficiency Required: Fluent (proficient) written and spoken English and Spanish (B2-C1, certified with IELTS, TOEFL, or equivalent)

Desirable Qualifications, Skills, and Experience

  • Experience in project delivery, event planning, and strong research and report writing skills.
