Description

The Coordinator, Finance and Administration within the Center for Oceans will provide key administrative support to the staff within the division.  The primary responsibility will be supporting the Senior Director, Finance and Operations with the financial and operational management of the Center for Oceans, including management of the CI financial systems and reporting.  The Coordinator will provide other administrative duties as assigned to assist the division staff, including timesheet management, procurement and inventory management, and support for expense reporting.  In addition, the Coordinator will assist in the coordination of in-person and virtual meetings and workshops, with both an internal and external audience.

RESPONSIBILITIES

Financial Support:  Responsible for data entry into CI’s financial systems, including budgeting system and properly registering awards.  Review program expenditures on a monthly basis, and prepare draft donor reports and donor invoices.  Provide the first review of staff expense reports.

Meeting and Workshop Support:  Coordinate virtual and in-person workshops, meetings, and other special events for both internal and external participants, including assisting with travel logistics, preparing travel grants for non-CI staff, and submitting requests for reimbursement.

Administrative Support:  Processing of administrative vendor invoices, managing computer inventory and procurement requests, managing timesheet codes for staff, point of contact for Arlington office requests, and other general administrative support as needed.

Other duties as assigned by the supervisor.
