Description

The Cities Network Operations Specialist will adapt processes and implement recommended practices to improve effectiveness and work collaboratively to help meet strategic program priorities.  They must have knowledge of operations systems, tools, and resources that can be utilized by the team to manage projects, support programs and coordinate communications related to the resources.  The Cities Network Operations Specialist will complete activities with multiple variables, setting realistic deadlines, and managing timelines.   They will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures, including meeting compliance expectations, and participating in budget season coordination with the New York Division.

The Cities Network Operations Specialist will provide specialized support in critical areas which will include Information Systems, Human Resources, Administration and Finance, and grants management.  The Cities Network Operations Specialist serve as the point person for the Cities Network for contract review and negotiation working closely with the New York Division Finance and Operations teams.  They will process invoices, and checks, provide Deltek time report coordination, and maintain Delegation of Authority forms for Cities Network team members.  They will respond to inquiries about program activities, create program materials, and draft correspondence.   They will maintain and track data, produce and review reports, conduct research and perform program analyses. They will coordinate logistics for Cities Network wide meetings, trainings and/or special events. The Cities Network Operations Specialist will distribute information to assist the team with making decisions, solving problems, and improving workflow, with the goal of helping the core team and Cities Network achieve its equitable conservation objectives.   The Specialist will take on additional duties to enhance the work of the team, including, but not limited to, developing documentation, managing archives and other knowledge repositories, providing recommendations, and/or enhancing the systems and tools used by the team.  They will communicate with team members in various programs across the Conservancy, as well as with donors, volunteers, vendors, and business relations.

RESPONSIBILITIES AND SCOPE

  • Collaborate effectively and provide direct support within scope of program’s strategic goals;
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience, referring difficult questions and unusual problems to supervisor and/or appropriate personnel;
  • Coordinate projects with several variables – set realistic deadlines, manage timelines, and ensure accountability;
  • Provide input through project teams for the development and implementation of strategic plans, new initiatives or the improvement of existing programs;
  • Demonstrate sensitivity in handling confidential information;
  • Perform non-routine analysis, research and follow-through;
  • Ensure compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements;
  • Financial responsibility includes purchasing, processing invoices, contracting with vendors, and assisting with budget preparation;
  • May act as a resource to others to solve problems and act in supervisor’s stead when instructed;
  • May supervise administrative and/or volunteer staff, including training and professional development;
  • Provide input through project teams for the improvement of existing programs;
  • Business travel may be required from time-to-time, up to 10%, and work flexible hours as needed;
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain; and
  • Work is diversified and may not always fall under established practices and guidelines.
