Description

The Purchasing Analyst will work as part of a team within the Purchasing, Contracts and Supply Management Office providing a broad range of support services by analyzing and reporting system data, preparing purchase orders, soliciting bid proposals and reviewing requisitions for goods and services.

 

ESSENTIAL FUNCTIONS

The Purchasing Analyst is a newly created position within the Purchasing, Contracts, and Supply Management Office of Finance and Administration.  The Purchasing Analyst will work as part of a team within the Purchasing, Contracts and Supply Management Office providing a broad range of resources to assist the department in analyzing and documenting supplier spend to help create/recommend commodity categories for targeted strategic sourcing plans on an organizational, regional and local level.  Such recommendations may also include the comparing and evaluating goods/services against active contracts, preparing purchase orders, helping draft and solicit RFIs, RPPs and RFQs.  This person will assist with maintaining and updating the vendor database and contact information.  They will analyze and report on established purchasing metrics, both departmental and supplier based.

 

RESPONSIBILITIES AND SCOPE

  • Work within scope of program’s strategic goals.
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience, referring difficult questions and unusual problems to supervisor.
  • Coordinate projects with several variables, working within a defined timeline and budget.
  • Demonstrate sensitivity in handling confidential information.
  • Perform analysis, research and follow-through as directed.
  • Ensure compliance with Conservancy policies and procedures.
  • Financial responsibility includes purchasing, processing invoices, and assisting with budget preparation.
  • May act as a resource to others to solve problems and act in supervisor’s stead when instructed.
  • May supervise administrative and/or volunteer staff, including training and professional development.
  • Provide input through project teams for the improvement of existing programs.
  • Travel and work flexible hours as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain; and
  • Work is diversified and may not always fall under established practices and guidelines.
