Description

Conservation International, the Pew Charitable Trusts, and other private and public partners have joined together to launch the Blue Nature Alliance (the Alliance) with the aim to catalyze actions to conserve 18 million square kilometers of the ocean (approximately 5 percent of the global ocean) to safeguard global ocean biodiversity, build resilience to climate change, promote human wellbeing, and enhance ecosystem connectivity and function.

The Coordinator, Blue Nature Alliance will be part of a fast-paced, collaborative, and dynamic team that aims to make an outsized impact on the ocean. The Coordinator, Blue Nature Alliance provides administrative, operational, and project support to Blue Nature Alliance leadership in the Center for Oceans at Conservation International as well as to the broader Blue Nature Alliance multi-institutional team as needed.

The ideal candidate has experience in administration and operations, with the ability to make independent judgments related to administrative matters and the ability to communicate effectively, both orally and in writing, with all levels of management both inside and outside of CI. This position requires excellent administrative skills, superior relationship-building skills, the ability to multi-task, and an ability to handle confidential and sensitive information with the highest degree of professionalism. This may include organizing conference calls, meetings, training, workshops, social events, and managing agendas, logistics, minutes, reporting, and processing travel reimbursements and related expenses.

The Coordinator may support the technical team on project implementation, including conducting secondary research (literature reviews) and drafting status reports, and/or creating presentations. They will assist with project monitoring, compiling data, and maintaining the Alliance’s data and knowledge management system.

RESPONSIBILITIES

Meeting and Workshop planning, implementation, and coordination:

  • Support planning for Alliance meetings, workshops, and social events, including venue rental, travel logistics, material coordination, organizing vendors, and suppliers.
  • Coordination, material circulation, note-taking, and other support for Alliance meetings as needed

Administrative Support:

  • Support travel booking and logistics for senior Alliance staff
  • Support Alliance meeting scheduling and calendar alignment, including for Senior Alliance staff
  • Responding to e-mails on behalf of the VP Blue Nature and/or senior staff, as appropriate.
  • Process expense reports for Senior Alliance staff
  • Curate and maintain organized Alliance SharePoint folder structure and files

Operational/Grants Support:

  • Maintain donor reporting schedule and requirements
  • Maintain GEF reporting schedule and requirements
  • Timesheet and accounting code management for Alliance staff
  • Support grant managers with reporting schedules for grantees
  • Support grant managers with dashboard and internal reporting

Project Support:

  • Conduct literature reviews and site research as needed
  • Support presentation development, donor reporting, and data and knowledge management as needed
  • Perform related duties as assigned.
