POSITION SUMMARY

The Finance Assistant will assist in administering the finances of the program. They will be working within a department, division, or program, and will play a key role in processing routine financial transactions and ensuring compliance with CI’s policies, procedures, and external requirements. The primary responsibility is reviewing and processing financial transactions in a timely and accurate manner. Transactions typically include vendor invoices, payments, petty cash, expense reports, travel advances, and related activities that support the efficient administration of the program operations. 

The Finance Assistant will assist in preparing journal entries, posting transactions in the financial system, and reconciling assigned accounts. They play a lead role in maintaining financial records and archives and responding to routine staff queries and requests for assistance. They will perform related duties as directed. 

RESPONSIBILITIES

  • -Review and process financial forms, transactions, and invoices.
  • -Review transactions for completeness, accuracy, and proper documentation and approvals prior to processing. Check for compliance with CI policies and donor/partner requirements. 
  • -Post routine transactions and entries to the general and subsidiary ledgers. 
  • -Reconcile assigned accounts which may include petty cash and bank accounts. Work with immediate supervisor to investigate discrepancies. 
  • -Prepare or assist in preparing various financial or administrative reports.
  • -Work with senior finance staff to help ensure the timely closing of accounting periods. 
  • -Answer inquiries and provide information on fiscal procedures and policies.
  • -Ensure that financial document and record archives are maintained and audit-ready. Gather documents and files in response to internal/external audit questions and requests for information.
  • -Perform related duties as assigned.

 ADDITIONAL RESPONSIBILITIES:

  • -Make sure all the documents are properly filed and kept. 
  • -Process the payment through online banking and get the necessary prior approvals.

PEOPLE AND RESOURCE MANAGEMENT RESPONSIBILITIES:

  • -This position does not manage staff, an operating budget, or public or private funds. Duties are performed under general direction and subject to regular review.

WORKING CONDITIONS

  • -This position is based in Singapore.
  • -Normal office environment.
  • -No travel is expected.
