Description

The Office Coordinator will perform various administrative tasks, including some or all of the following: reception for the Minneapolis office, sorting and distributing physical and electronic mail, answering main phone, organizing and maintaining files, purchasing office related items or services, coordinating office and equipment maintenance, and logistics support. The Office Coordinator may communicate with internal and external sources, including staff, partners, government officials, and donors in order to perform these functions. They will handle initial inquiries about office and operations activities and will route these inquiries to the appropriate staff member, providing follow-up support as needed. They will use available systems and resources to maintain and track data and produce reports as needed. They will provide other staff with information about the office space and/or Chapter operations necessary to make decisions and solve problems. They will have frequent interaction with staff throughout the program and in other Conservancy offices, with our tenant organization Conservation MN, and with vendors. The work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.

RESPONSIBILITIES AND SCOPE

  • Prioritize tasks in the absence of specific instructions. Make day-to-day decisions within the scope of work assignments. Perform duties according to instructions or established practices, referring problems or questions to supervisor if needed;
  • Does not supervise any staff, but may help plan and direct the work of volunteers or interns;
  • Responsible for purchasing office-related items and services, including coordination of these services and submission of related invoices or expense reports for approval and payment.
  • Collaborate with the rest of the operations team to ensure suitable support to staff;
  • May serve as a team member for assigned projects; and
  • Work overtime as needed.
