Description

The Development Operations Assistant performs a variety of administrative tasks in support of Development staff located at the Worldwide Office, field offices, and remote locations. The Assistant is responsible for answering the development phone lines, addressing caller issues in a professional and courteous manner, and directing calls to correct contacts. They are well versed in the various functions of the division and maintain strong level of awareness of new initiatives. In addition, they sort and distribute division mail, scan and organize files, coordinate the offsite storage inventory, and order supplies. The Assistant may coordinate logistics or provide support to staff managing meetings and special events. They use available systems and resources to maintain and track data and produce reports as needed. The Assistant has frequent interaction with staff throughout the organization, donors, and vendors. They provide other staff with information they need to make decisions and solve problems. The Assistant works on special projects as assigned by the Director of Finance & Operations; projects may either be short term or ongoing additional responsibilities. They provide efficient and timely action on administrative matters with a focus on service.

RESPONSIBILITIES AND SCOPE

  • Does not supervise any staff, but may help plan and direct the work of volunteers or interns;
  • Prioritize tasks in the absence of specific instructions and make day-to-day decisions within the scope of work assignments; duties are performed according to instructions or established practices and supervisor will resolve any problems or questions;
  • Maintain limited financial responsibility, which may include processing invoices, purchasing, or creating travel expense reports;
  • May serve as a team member for assigned projects;
  • Work overtime as needed; and
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
